Retail Systems & EDI Integrations

The plumbing between you and your retail partners

EDI documents, dropship portals, order sync and the deductions that arrive at the end of it. None of it is glamorous, all of it is money, and it fails quietly.

  • Named, in-house team
  • EDI and portal operations
  • Deduction recovery

How the trading relationships are run

Trading with retailers is an administrative relationship before it is a commercial one. Orders arrive as documents, acknowledgements and shipment notices have to go back inside a window, compliance is measured, and anything that slips comes back as a chargeback months later.

The work does not announce itself. A failed acknowledgement, a fill rate sliding two points a week, a deduction nobody disputed inside the window — each is small, and together they are the difference between a profitable retail account and one that quietly is not.

StaffCloud runs it as a standing function: documents watched, portals worked, sync monitored, and deductions disputed case by case with the evidence attached. The three capabilities below are how that divides up.

Capabilities

Watched, not just connected

Integrations are monitored daily. A connection that silently stopped looks exactly like a partner that stopped ordering, and the difference is usually found far too late.

A process per trading partner

Every retailer has its own documents, windows and portal quirks. Each is documented, because what is correct for one partner is a compliance failure for another.

Deductions disputed on evidence

Chargebacks and shortages worked with the shipping and invoice evidence attached, inside the dispute window, rather than written off as a cost of trading.

Reporting across partners

Compliance, fill rate and deduction position reported in one place, so the account that is quietly losing money is visible.

How the engagement runs

  1. 01

    Integration and account audit

What is connected, what is failing, what compliance position each partner shows and what deductions are sitting undisputed. You get the audit whether or not you engage us.

  2. 02

    Partner playbooks

Each retailer's documents, windows and portal processes written down — the step that makes the work transferable.

  3. 03

    Daily operations

Documents, orders, exceptions and portal work handled on a daily rhythm rather than when something escalates.

  4. 04

    Dispute and recover

Deductions worked case by case with evidence, tracked to resolution, with the recurring causes reported back.

What clients are actually buying

Somebody whose job it is to look at the boring screens every day, before the quarterly deduction report explains what happened.

  • Compliance held rather than discovered at review
  • Deductions disputed inside the window
  • Integration failures found in days, not at month end

Questions buyers ask

The things worth knowing before the first call.

Not sure this is the right scope?

Describe the workload in a sentence and we will point you at the right team — or tell you honestly if it is not something we should take on.

Ask us

StaffCloud runs EDI operations day to day — mapping maintenance, partner onboarding and the document cycle — inside whatever platform you already use.

Deep custom EDI development belongs with your integrator or VAN, and we name that boundary rather than blur it. You get the operational side covered without paying us to learn engineering we are not the right team for.

The ones you already trade with. StaffCloud works within your existing partner relationships rather than needing a particular retailer list.

Every partner has its own documents, portal and requirements, so onboarding a new one is a scoped piece of work rather than flipping a switch. We will tell you what adding a partner involves before you commit to it.

Where they are still inside the retailer's dispute window and the supporting evidence exists, yes — and it is often the fastest return on the engagement.

Outside the window a deduction is generally closed for good, which is precisely the argument for watching them as standing work rather than reviewing them once a year.

Read access is usually enough for monitoring and reconciliation. Write access is only needed where you want StaffCloud doing the transactional work itself.

Either way it is scoped through your own user management, so you decide what the team can see and change, and you can adjust it at any time.

It varies enormously by retailer and by violation type, and any figure we quoted would be another company's experience rather than yours.

The audit shows your actual deduction pattern — which retailers, which violations, what they cost you last year. That is the only number worth planning against, and it usually surprises people.

Vendor Central AP disputes sit here because they are the same discipline as retailer deductions: documents, evidence and windows.

Our Amazon services cover the catalogue and account side instead. Brands often take both, and where they do the same team usually holds them so nothing falls between the two.
